Crownhart Dental Consulting LLC, doing business as Crownhart Dental Consulting (“Crownhart,” “we,” “us,” or “our”), respects your privacy and is committed to handling personal information responsibly.

This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you visit crownhartdentalconsulting.com, schedule a consultation, submit a website form, communicate with us, or otherwise interact with website features that link to this Privacy Policy, collectively referred to as the “Site.”

This Privacy Policy applies to information Crownhart controls through the public Site. It does not replace or modify the terms of a separate consulting agreement, confidentiality agreement, business associate agreement, statement of work, or other written agreement between Crownhart and a client.

We may collect information you voluntarily provide, including:

• Dental practice, company, or organization name
• Email address
• Telephone number
• Business address or general location
• Appointment date, time, and meeting preference
• Information you provide about your practice’s general needs, priorities, or goals
• Questions, messages, correspondence, and form responses
• Communication and marketing preferences
• Information you provide when requesting resources, attending an event, or participating in a survey

 

Please provide only information reasonably necessary for us to respond to your request.

Information Collected Automatically when you use the Site, Crownhart and its website service providers may automatically collect technical and usage information, including:

• Internet Protocol address
• Browser type and version
• Device type and operating system
• General geographic area derived from an IP address
• Referring and exit pages
• Pages visited
• Links or buttons selected
• Date and time of access
• Session and interaction information
• Cookie identifiers and similar technical information

Information Received Through Service Providers

We may receive information through providers that support the Site and our communications, including Wix, Wix Bookings, Google Calendar, Google Meet, email providers, analytics providers, and similar business technology services.

 

The information received depends on the feature you use and the privacy settings associated with that service.

 

2. INFORMATION YOU SHOULD NOT SUBMIT THROUGH THE SITE

The public Site and its scheduling and contact forms are not designed to receive highly sensitive information.

Do not submit:

• Patient names, dates of birth, addresses, chart numbers, photographs, radiographs, treatment records, or other patient identifiers
• Protected health information or electronic protected health information
• Consumer health data
• Social Security numbers
• Driver’s-license or passport numbers
• Financial-account credentials
• Full payment-card information
• Passwords or login credentials
• Information subject to another person’s confidentiality rights
• Proprietary practice data that should be transmitted through an approved secure method

 

Submitting an inquiry does not create a confidential consulting relationship. Crownhart may delete or decline to review information submitted through an inappropriate or unsecured channel.

 

3. HOW WE USE INFORMATION

We may use information to:

• Operate, maintain, secure, and improve the Site
• Respond to questions and consultation requests
• Schedule, confirm, reschedule, and conduct appointments
• Evaluate whether Crownhart’s services may be appropriate for a prospective client
• Communicate about requested services or resources

• Understand how visitors use the Site
• Improve website content, navigation, accessibility, and performance
• Detect, investigate, and prevent security incidents, misuse, or fraud

Marketing Technologies

Marketing or advertising technologies may be used only when enabled and permitted. Crownhart does not currently sell personal information or knowingly share personal information for cross-context behavioral advertising.

 

You may manage available choices through the Site’s cookie banner or privacy-settings control. You may also configure your browser to block or delete cookies, although disabling cookies may affect Site functionality.

 

Where applicable law requires us to recognize a legally valid opt-out preference signal, we will process that signal as required.

6. SALE AND TARGETED ADVERTISING

Crownhart does not sell personal information for money.

Crownhart does not currently share personal information for cross-context behavioral advertising or use sensitive personal information to infer personal characteristics.

If our practices materially change, we will update this Privacy Policy and provide any legally required notice and opt-out mechanism before applying the new practice.

 

7. DENTAL INFORMATION, CONSUMER HEALTH DATA, AND HIPAA

Crownhart provides business and practice-management consulting. The public Site is not a patient portal, clinical communication system, medical-record system, or secure method for transmitting patient information.

 

Do not submit patient information, PHI, ePHI, or consumer health data through a contact form, scheduling field, ordinary email, or other public Site feature.

A separate consulting engagement may require additional safeguards, secure transmission methods, confidentiality provisions, or a business associate agreement when applicable. Those requirements will be addressed separately in the applicable written client agreement.

Crownhart Dental Consulting does not knowingly collect consumer health data through the public Site. We do not sell consumer health data or use consumer health data for advertising. If Crownhart Dental Consulting begins intentionally collecting consumer health data in the future, we will provide any separate privacy notice, consent process, and consumer-rights procedure required by law before doing so.

8. EMAIL AND OTHER COMMUNICATIONS

When you contact us or schedule an appointment, we may send administrative communications relating to your request, including appointment confirmations, reminders, responses, and follow-up communications.

We may send promotional or educational emails when permitted by law. You may unsubscribe from marketing emails through the unsubscribe method provided in the message or by contacting us.

Unsubscribing from marketing communications will not prevent us from sending necessary transactional, appointment-related, contractual, safety, or legal communications.

Crownhart Dental Consulting does not send marketing text messages without any consent required by applicable law.

9. DATA RETENTION

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including:

• Responding to inquiries
• Maintaining consultation and business records
• Providing requested services
• Maintaining security and preventing fraud
• Resolving disputes

• Protecting intellectual property

Retention periods vary depending on the type of information, the nature of the relationship, applicable legal requirements, and whether the information is relevant to an actual or anticipated dispute.

Crownhart Dental consulting uses reasonable administrative, technical, and organizational measures designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.

No website, internet transmission, email system, or electronic storage method can be guaranteed to be completely secure. You are responsible for using appropriate caution when transmitting information electronically and for avoiding the submission of sensitive information through unsecured channels.

Depending on your location and the law applicable to Crownhart, you may have the right to request that we:

Provide your name, email address, the nature of your request, and enough information for us to identify relevant records. We may need to verify your identity before completing a request. We will use information submitted for verification only for verification and request-processing purposes.

 

An authorized agent may submit a request when permitted by law. We may require evidence of the agent’s authority and may contact the individual directly to verify the request.

Some information may be exempt from a request when retention or processing is permitted or required by law.

12. STATE-SPECIFIC DISCLOSURES

Where an applicable U.S. state privacy law applies to Crownhart Dental Consulting, the categories of information we may collect include:

• Identifiers and contact information

Crownhart Dental Consulting does not currently sell these categories of personal information or share them for cross-context behavioral advertising.

13. CHILDREN’S PRIVACY

The Site is intended for dental professionals, practice owners, administrators, vendors, and other adult business users. It is not directed to children under 13, and Crownhart Dental Consulting does not knowingly collect personal information from children under 13.

Individuals under 18 should not submit information through the Site without the involvement of a parent or legal guardian. If we learn that we have collected personal information from a child contrary to applicable law, we will take reasonable steps to delete it.

14. THIRD-PARTY WEBSITES AND SERVICES

The Site may link to or integrate with websites and services operated by third parties, such as Wix, Google, social-media platforms, or other external resources.

Crownhart Dental Consulting does not control the privacy, security, content, or availability of independent third-party services. Your use of those services is governed by the applicable provider’s privacy policy and terms.

A link does not necessarily mean that Crownhart Dental Consulting sponsors, endorses, or is responsible for the third party.

15. VISITORS OUTSIDE THE UNITED STATES

Crownhart is based in Washington State, United States. Information submitted through the Site may be processed and stored in the United States or other locations where our service providers operate.

Privacy and data-protection laws in those locations may differ from the laws of your jurisdiction. Where required, appropriate safeguards will be used.

16. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy to reflect changes in our practices, technology, services, or legal obligations.

The updated version will be posted on this page with a revised “Last Updated” date. When required by law, we will provide additional notice or obtain consent before applying a material change.
